Kept Books is operated by Pulse Technology Advisory Limited, company number [company number], registered office [registered office address]. By signing in to Kept Books, or by using a link we or your accountancy practice send you, such as an invitation or a bank connection request, you agree to these terms.
The service
Kept Books is bookkeeping software. Accountancy practices use it to keep their clients’ books, and businesses can use it directly. The professional services you receive, such as accounts, tax returns and advice, are provided by your practice under your engagement letter with it, not by us. We provide the software.
- Invitation links and connection links are personal to you. Do not forward them.
- Keep your password and any two-factor device to yourself. You are responsible for what is done under your sign-in until you tell us or your practice that it has been compromised.
- Information you enter or upload must be accurate and complete. Your practice relies on it, and so do the figures Kept Books produces.
- Where Kept Books uses AI, for example to read a receipt or suggest how a bank line should be coded, the result is a suggestion for a person to check, not advice.
Open banking bank feeds
Bank account information services are provided through Finexer Ltd, which is authorised and regulated by the Financial Conduct Authority as an Authorised Payment Institution (firm reference number 925695) to provide account information services under the Payment Services Regulations 2017. Pulse Technology Advisory Limited acts as an agent of Finexer Ltd for those services.
A bank feed brings your statement lines into Kept Books automatically. Connecting a bank account is always your choice, made through a consent page hosted by Finexer and your own bank’s sign-in. Kept Books and Finexer never see your bank login details.
- The feed retrieves account details, balances and transactions for the accounts you choose, and nothing else. It cannot move money.
- Consent lasts for the period your bank sets, usually 90 days. After that the feed stops until you consent again.
- You can revoke consent at any time: press Stop next to the feed on the Bank screen in Kept Books, revoke the access at your bank, or ask your practice. Retrieval stops immediately. Lines already imported stay in your books as part of your accounting records.
- Finexer’s own terms apply to the consent you give on its page, and it shows them to you there.
Our Privacy Policy explains how bank data is stored and who is responsible for it.
Your data
Your books belong to you, or to the practice that keeps them for you, under your agreement with it. We hold them only to provide Kept Books. The Privacy Policy sets out who is the controller and who is the processor for each kind of data, and how long it is kept.
Acceptable use
Do not try to reach books that are not yours, probe or disrupt the service, share your sign-in with others, or use Kept Books for anything unlawful. We may suspend or limit access to protect the service, its users or their data.
Fees
Where fees apply they are set out in the plan your practice or business has chosen, or in your practice’s agreement with us. [Pricing, invoicing and cancellation terms, or a link to them]
Availability and changes
We aim to keep Kept Books available at all times, but we cannot promise that. We may change or withdraw features, and we may update these terms. The date at the top shows the current version. If a change matters to how you use the service we will tell your practice first.
Liability
We provide Kept Books with reasonable skill and care. Nothing in these terms limits liability that cannot be limited by law. Beyond that, we are not liable for loss caused by matters outside our reasonable control, including a bank, Finexer or another provider being unavailable, nor for loss that arises from information you or your practice entered incorrectly. Any limits on the liability of your accountancy practice are set out in your engagement letter with it, not here. [Overall liability cap, if one is wanted]
